Centralize communications with your clients in Ezus via the mailbox

Ezus messaging allows you to:

  • Centralize all your exchanges with your suppliers or clients in a collaborative mailbox within the Ezus software

  • Send pre-filled emails with information from your project to your clients, thanks to our ready-made templates

  • Keep a history of exchanges by Project and Client, to ensure better follow-up

Let’s explore together how to simplify communication with your clients by sending automated, personalized emails from Ezus.

1. General use

Ezus offers two options:

  • A mailbox hosted by Ezus (on the Ezus domain)

  • Synchronization with your Gmail or Outlook mailbox

If you connect your Gmail or Outlook account, emails sent and received from Ezus will also be visible in your Gmail/Outlook inbox. To learn more, please consult our article ✍️ How to connect your Gmail/Outlook address to Ezus.

Conversations are automatically associated with the supplier and project concerned in Ezus to facilitate follow-up.

⚠️ A thread can be linked to either one or more suppliers or to a customer, but it cannot be linked to both a customer and one or more suppliers.

There are several places from which you can send emails:

  • From a project

Use the corresponding button on the left sidebar: either at the global level or at the client level.

💡 If multiple contacts are listed for your client, Ezus will fill in the “Recipient” field with the email address of the first contact when you click the envelope icon. If you want to send it to a different contact, click the three dots to the right of that contact, then click the “Send an email” button.

  • From your client record

  • From Messaging

Accessible at the top right of the settings icon, by clicking the pink New thread button.

Click the button to switch from Supplier mode (default) to Client mode:

When you create a new conversation, we will ask you to select (or verify) the Project and Client associated in order to:

  1. Find conversations in Project and Client files.

  2. Retrieve information from linked Projects and Client via variables in the email body.

  3. Automatically have the email of the Client's contact in the Recipient field.

💡 You can link multiple Projects to one email conversation, but only one customer.


2. Essential messaging features

  • The star icon "Bookmark this thread" allows you to find certain conversations more easily so you can move them to the "Starred Messages" tab.

  • By marking your conversations with the "Archive this thread" icon, they will be saved but moved to the "Archived messages" tab to allow you to organize your inbox.

  • The gear icon in the upper-right corner lets you change the Project(s) or Client associated with the conversation, if necessary.

  • You can also use the search bar on the left to find a conversation more easily.

The different badges:

  • The pink badge means it's a new message not yet read by the user on Ezus.

  • The blue badge means the email was successfully sent and has not yet been read by the recipient.

  • The light blue badge means the email has been read by its recipient.


3. How do I customize my email templates?

To save time, we recommend creating standard email templates.

To do this, go to the "Templates" tab, then click the pink "Create a template" button at the bottom right.

We recommend entering a clear Title for you and your teams, to help you find it more easily in your template library.

Then enter the Subject of your standard email, and you can paste the email body in the Message section.

So that the information linked to your project can be automatically filled in when generating your email, you will need to insert tags in your template. A tag consists of an attribute name surrounded by double dollar signs: $$attribute_name$$.

In the example below, the tag $$this.contact.first_name$$ will return the first name of the primary contact of the client to whom you are writing the email, while the tag $$user.first_name$$ corresponds to the first name of the Ezus user who will send the email (yourself or a member of your team).

As you will have understood, any tag starting with "this" is linked to your client information while tags starting with "user" are linked to your own information.

Once your email template is complete, don't forget to save it at the bottom right!


4. FAQ

  • Does everyone on the team have access to sent emails?

As soon as a user has access to the feature, they can indeed view all emails sent by all members of your team.

There are therefore two scenarios:

  • Full access to messaging

  • No access to messaging

  • Is there a limit to sending emails?

No. Access to the Messaging feature is, however, only available to our clients who have subscribed to a Premium subscription.

  • What improvements are coming to this Messaging via Ezus?

We are working on a next version of the feature with the possibility of selecting multiple suppliers with multiple email bodies to send in bulk with templates; enhance the text of your messages (bold, italic, font, etc...); add a signature; be able to save drafts; manage attachments; schedule email sends and much more.
