Managing your referral partners' commissions

This article explains how to handle the following use case in Ezus:

  • The end client is the traveler, whom you invoice directly as an agency.

  • The referral partner therefore invoices you a commission.

  • The goal is to preserve your target margin while factoring this commission into your profitability calculation.

1. Create the referral partner as a supplier

Even though the referral partner isn't a supplier in the traditional sense, we recommend that you:

  • create a dedicated category (e.g. Partners or Referral partners);

  • create a supplier record within this category.

This allows you to:

  • link the commission lines to the referral partner;

  • upload the commission invoices you receive;

  • track all commissions paid to this partner across every project.

2. Create an associated product

You can name it, for example, "Commission [referral partner's name]".

So that the product doesn't appear on the documents sent to the traveler and is used solely for the financial calculation, we recommend adding it to the Extras category of your program.

💡 To hide this product in your quotes or invoices: create a new quote/invoice template and select "Detail level by type". Then choose "detailed quote" or "quote by activity" for the Accommodation, Transport and Steps categories (as you usually would), and select "global quote" for Extras.

3. Enter the commission amount

For now, Ezus does not allow you to enter a commission directly as a percentage. The amount must therefore be calculated manually and then entered as a value in the project.

Example:

  • Sale price: €2,687.45

  • Commission: 13%

  • Calculated amount (outside Ezus): €401.57

You therefore enter €401.57 in the product's Purchase price (and Sale price if needed) within the program.

4. Decide whether the commission is passed on to the client

Two scenarios are possible:

The commission is built into the price sold to the client

  • Purchase price = €401.57

  • Sale price = €401.57

The commission is then included in the total sale price of the trip.

The commission is absorbed by the agency

  • Purchase price = €401.57

  • Sale price = €0

This line only affects the agency's margin, without changing the price invoiced to the client.

Result

This method allows you to:

  • correctly factor the commission into your margin calculation;

  • keep an accounting record of commissions;

  • attach the referral partner's invoices;

  • retrieve the history of commissions paid by partner.
